Cookie & Privacy Policy

Last updated: 29/09/2026

This policy explains how I, Rebecca Uterhark trading as RUFIT I collect and use your personal information when you visit my website, book a class or event, join a membership, or buy a course.

I'm the data controller for this information. Contact: becky@rufitness.co.uk

1 - What I collect

- Contact details: name, email, phone number.

- Account and booking details: membership status, classes and events booked, payment history (not full card details).

- Health information: the answers you give on the PAR-Q health questionnaire.

- Photos and videos: images or recordings taken during live classes, pop-up events or courses (see section 5).

- Technical data: IP address, browser type and cookies (see section 7).

- Anything you send me directly: emails, messages or forms.

2 - Where it comes from

- Directly from you, when you book, buy, fill in a form, or email me.

- From the tools I use to run RUFIT: my website host (Squarespace), booking system (Acuity), and email platform (Mailchimp).

3 - How I use it

I use your information to:

- Set up and manage your membership, bookings and course access

- Take payment and handle refunds

- Keep you safe in classes, using your PAR-Q answers

- Send you booking confirmations and essential updates about classes or events

- Send you newsletters and marketing emails, if you've opted in (see section 6)

- Improve RUFIT and understand how people use the website

- Meet my legal and accounting obligations

4 - My legal basis for using it

- Contract: to provide the membership, class, event or course you've booked.

- Legitimate interests: to run and improve my business, and to keep records.

- Consent: for marketing emails, and for using your health information and any photos/videos of you (see below). You can withdraw consent at any time.

- Legal obligation: for accounting and tax records.

5 - Photos, videos and social media

I sometimes take photos or record video during live online classes, pop-up events and courses, for teaching purposes and to promote RUFIT.

- Live class recordings: classes may be recorded so I can offer them as a bonus video or replacement session if I can't teach live. Keep your camera off during a live class if you'd rather not appear in any recording.

- Promotional photos/videos: at in-person pop-up events, I may take photos or short videos for use on the RUFIT website, Instagram, Facebook, TikTok or other social channels, and in marketing emails.

- Your consent: by attending an in-person event, you agree that reasonable, non-intrusive photos or videos may be taken. If you do not want to appear in promotional photos or videos, please tell me before the session starts, in person or by email, and I will do my best to exclude you or blur/edit you out. You may also ask me at any time to remove a specific image or video of you from my website or social media by emailing becky@rufitness.co.uk.

- Children: if a minor appears in any photo or video, I need signed consent from a parent or guardian before using it.

- I won't sell your image to a third party or use it in a way that isn't connected to promoting RUFIT.

6 - Marketing emails

If you sign up to the RUFIT Inner Circle mailing list or opt in at checkout, I'll send you newsletters, class updates and offers via Mailchimp. You can unsubscribe at any time using the link in any email, or by contacting me directly.

7 - Cookies

The website uses cookies (via Squarespace, and any analytics or advertising tools I add) to remember your preferences and understand site traffic. You can control cookies through your browser settings or a cookie banner where offered. [Add detail per your Squarespace cookie settings / consent banner.]

8 - Who I share it with

I share your information only where needed, with:

- Squarespace (website hosting)

- Acuity Scheduling (bookings, memberships, events)

- Mailchimp (email newsletters, and its connection to Canva for creating email content)

- Stripe (processing payments)

- HMRC / SIP Cannes for tax and accounting purposes

- Professional advisers, or authorities, where required by law

I don't sell your personal information to anyone.

Some of these providers may store data outside the UK/EEA (for example, in the US). Where that happens, they operate under recognised safeguards such as Standard Contractual Clauses.

9 - How long I keep it

- Booking and payment records: kept for 6 years to meet accounting and tax obligations.

- PAR-Q health forms: kept for as long as you're an active member/client, renewed annually, and deleted 12 months after you stop attending, unless I need to keep them longer for a legal reason.

- Marketing list: kept until you unsubscribe or ask me to delete your details.

- Photos/videos: kept until you ask me to remove them, or until they're no longer useful for promotion.

10 - Your rights

Under UK GDPR and/or EU GDPR, you can ask me to:

- Access the personal information I hold about you

- Correct inaccurate information

- Delete your information ("right to be forgotten")

- Restrict or object to how I use it

- Move your data to another provider (data portability)

- Withdraw consent at any time (for marketing, photos/video, or health data)

To use any of these rights, email becky@rufitness.co.uk. I'll respond within one month.

If you're not happy with how I've handled your data, you can complain to the [UK Information Commissioner's Office (ico.org.uk) / French CNIL (cnil.fr)], depending on where you live.

11 - Keeping your data safe

I take reasonable steps to protect your personal information, including secure storage of PAR-Q forms and limiting who can access booking and health data. No online system is 100% secure, but I aim to use reputable, secure providers (Squarespace, Acuity, Mailchimp) for all client data.

12 - Children

RUFIT's services are aimed at adults aged 18+. I don't knowingly collect data from children, except where a parent/guardian books on a young person's behalf or gives consent for use of their image.

13 - Changes to this policy

I may update this policy from time to time. The current version will always be available on the website, with the "last updated" date shown at the top.
